Assistant Service Advisor - Boulder
Join our dynamic team as an Assistant Service Advisor, where you’ll play a dual role in ensuring outstanding customer service and operational efficiency. This position combines customer interaction, administrative tasks, and parts management responsibilities, making you a key player in delivering a seamless service experience.
By coordinating between the front-of-house team, vendors, and technicians, you will help the shop meet its gross profit goals through effective parts procurement while ensuring clients receive exceptional service. Your proactive approach and ability to manage multiple responsibilities will directly contribute to both client satisfaction and the overall success of the shop.
Key Responsibilities
Service Advisor Assistant Duties
Provide front-of-house support by answering phones, assisting customers at the counter, running errands, and checking in/out customers.
Maintain a clean and welcoming office and lobby environment, including handling customer loaner cars and performing callbacks to previous clients.
Process extended and internal warranty claims efficiently.
Input invoices and create quotes or other documents using Shop Management Software.
Check and distribute mail, maintain office supplies, and assist with updating office equipment and computers.
Support vendor relations and assist in maintaining relationships to ensure smooth operations.
Parts Management Duties
Parts ordering - collaborate with vendors and dealerships to secure parts at competitive prices. Negotiate effectively and shop multiple vendors to achieve cost savings.
Oversee the efficient processing of parts returns to maintain accurate inventory and support timely repairs.
Manage the receiving, stocking, and organization of parts to ensure inventory is readily available and well-organized.
Build strong relationships with parts vendor representatives to ensure reliable service and support.
Additional Responsibilities
Assist in maintaining workflow efficiency by updating the workflow board and coordinating with technicians.
When necessary, support sales efforts by assisting in selling repairs and services under the guidance of the Service Advisor or General Manager.

Qualifications
Skilled in basic computer programs (Word, Excel, POS) with the ability to learn new systems.
Clear communication skills in English, both verbal and written.
Valid U.S. driver’s license and insurability under the store's policy.
Proven leadership and experience managing teams of various sizes.
A strong focus on customer relations, sales, and operational excellence.
Physically capable of performing tasks that involve grasping, pushing, pulling, lifting (including items over 50 pounds), bending, and reaching overhead.
Ability to stand for extended periods, up to 8 hours, is required.
Must be able to maintain a fast-paced work rhythm for extended durations.
